File Security in Microsoft 365: Under Teams, OneDrive for Business, Microsoft 365 Groups it’s SharePoint

File security used to be about file servers.  Identify all shared folders on all servers; then understand the types of data and classification and compare that policy and the actual permissions.  Make sure you understand the difference between share permissions and file permissions and you’re good.

In today’s Microsoft 365 cloud, files show up everywhere and much of the time we have no concept of where the file resides, and security is up to split second decisions users make when they share the file in a myriad different ways and applications.  From a security perspective that’s the bad news.  The good news is at the end of the day, and at the bottom, it’s SharePoint.  Ultimately, in Microsoft 365, files live in SharePoint online document libraries. 

For instance, your individual OneDrive for Business account is a specialized SharePoint "Site Collection" that is private by default and dedicated to a single user.  Teams is largely a window into SharePoint. Teams provides the interface for collaboration, while SharePoint provides the engine for file storage and management. Teams itself does not store files; instead, it acts as a "window" or front-end to various SharePoint sites.  All the standard channels within a specific Team share one “parent” SharePoint Team Site.  Each channel in the team gets a corresponding folder in that site’s Shared Documents library.  Private and Shared channels get separate sites in SharePoint.

But the bottom line is that all your files are in SharePoint and so SharePoint security becomes fundamental to document security in today’s environment.
